Enable MS Dynamics Customer Insight Integration for your Webinars

Once you have connected your MS Dynamics account, you will be able to set up the Integration for your event.

You will be able to do that from the ‘Event > Integration > Connected apps’ area, You will be able to see Salesforce there.

If you have not connected your MS Dynamics account, click here  to get started.

Step 1: Go to the ‘Integrations’ area in your events side panel, Click on the ‘Connected apps’.Once  MS Dynamics is connected, it will display under connected Apps.

Step 2: Click on the ‘Setup’ button on the MS Dynamics card.

Step 3: Select your MS Dynamics Event

Note: You will see this step only if you have selected the MS Dynamics - Customer Insights when connecting with Hubilo. If you have selected MS Dynamics CRM, click here and follow the steps mentioned.

Hubilo will sync all the registrations from your Hubilo webinar directly to your MS Dynamics event as Event Registration.

While adding the records as Event registrations, Hubilo will add the records as Contact in your MS Dynamics. If the record is already present, Hubilo will update the records based on field mapping and if the record doesn’t exist in your MS Dynamics contact object, Hubilo will create one.

The attendees who attend your Webinar will also be synced under Event check-ins.

Step 4: Field Mapping - You would need to map the Hubilo fields with respective MS Dynamics fields based on which the data sync would happen.

Contact Field Mapping: Map the Hubilo fields which you would like to export to your MS Dynamics contact record. On the basis of this mapping the record would be created or updated.

Contact Source Management: You can also choose to select the Source value of the contact. Hubilo will make sure we enter the selected source value to the net new records which are created by Hubilo. If a record also exists, we will not overwrite its source value.

Event registrations field mapping: You can also choose to export any of your custom profile field data like Hubilo magic link etc directly to the event registration object without exporting it directly to the contacts object.

Step 5: Configure Attendee Activities

These are the activities that you can configure.

Registered for the Event - Syncs the data when user registers for an event on Hubilo.

Profile updated - Syncs data when users visit a virtual booth or get the QR scanned at a physical booth.

Joined the event - Syncs the data when user joins an event by virtual login or a physical check-in.

Attended session - Syncs user attendance data when a session ends.

Session Survey Submitted - Syncs the data when user submits session survey once session ends.

Session Poll Submitted - Syncs the data when user responds to a particular poll published in the session.

Session QnA Submitted - Syncs the data of user posting a question to QnA section.

You can now select the Hubilo activities that you would like to export to your MS dynamics contact object.

These Hubilo activities would be synced as Tasks under your contact object and all the properties would be visible under the Description section.

Step 6: Turn the Sync On

Once the sync is on, the data would automatically sync in your MS Dynamics.

You will need to wait a minute or two to see the data being populated in your MS Dynamics.

In case you want to see the logs of the synced records, you can check the next step.

Step 7: You will be able to monitor the sync and all the records which are successfully synced or failed will be shown in logs with error reasons.

  • You can go to the home screen and click on ‘Integration’ from the top menu, click on the ‘Logs’ tab adjacent to the Apps tab.
  • You can select ‘MS Dynamics 365’ from the app dropdown on the top right corner.
  • You can filter the ‘Failed’ logs separately as well.
  • You can also search for specific attendee records by their email or name.
